Privacy Policy

This policy explains how MathLinks Tech Limited ("we", "us") collects and uses personal information through the mathlinksacademy.co.uk website.

Who we are

Information we collect

When you use our contact/enquiry form, we collect your name, email address, phone number (if provided), your child's age (if provided), the programme you're interested in, and your message. If you go on to enrol in a programme, our separate learning platform (learn.mathlinksacademy.co.uk) collects account and progress information as part of that sign-up process.

How we use your information

We use the information you give us to respond to your enquiry, to administer programme enrolment and delivery, to meet our safeguarding and legal obligations, and to keep reasonable business records.

Why we are allowed to use your information

Under UK GDPR we must have a legal basis for using personal information. Ours are:

  • Enquiries and demo requests: our legitimate interest in replying to people who contact us and, if you go on to enrol, taking the steps you ask for before you enter into a contract.
  • Enrolment and delivery of programmes: performing our contract with you.
  • Safeguarding and legal obligations: our legal obligations and our legitimate interest in keeping learners safe.
  • Teaching applications and reviews: your consent, which you give by ticking the box on the form. You can withdraw it at any time (see “Your rights”).

Teaching applications and CVs

If you apply to teach with us through our Careers page, we collect what you enter in the form (your name, email address, phone number, current role, the subjects and levels you can teach, your experience, availability and your statement) and, if you attach one, your CV. This is stored privately on our server, is not publicly accessible, and is seen only by the people involved in recruitment. We use it only to assess your application and to contact you about it, and we email a confirmation to the address you give. If your application is unsuccessful we keep your details and CV for 12 months and then delete them, unless you ask us to delete them sooner: email info@mathlinksacademy.co.uk.

Reviews

If you submit a review, we collect your name, email address, the programme and year or level you are writing about, your star rating and your review text. If you tell us you are under 18 we also collect a parent or guardian's email address. Every review is checked by our team before it is published. If published, we show the review text (which we may lightly edit for length or clarity, while keeping the original as you wrote it), your star rating, the programme, and your name in the form you choose (first name and surname initial, first name only, or anonymous). We never publish your email address. We do not email a parent or guardian automatically: for a reviewer under 18, our team contacts the guardian and the review is only published once they have confirmed they agree. We keep a published review for as long as it is shown on our website. A review we do not publish is deleted 12 months after it was submitted. To have a review removed, email info@mathlinksacademy.co.uk and we will take it down and delete it.

Sharing your information

We do not sell your personal information. We may share it with service providers who help us operate (for example, our website and email hosting providers, and a payment processor once you enrol in a paid programme), and where we're required to by law.

Where your information is held

Our website and learning platform are hosted on servers in France, within the European Economic Area, by our hosting provider. The UK recognises the European Economic Area as giving personal information an adequate level of protection, so no additional safeguards are needed for this.

If you're enquiring on behalf of a child

By submitting an enquiry or enrolment for a child, you confirm you are their parent or legal guardian and are providing this information on their behalf.

How long we keep information

We keep enquiry details only as long as needed to respond to you and for reasonable record-keeping, and no longer than 24 months unless you become an enrolled family, in which case programme records are kept in line with our enrolment terms.

Your rights

Under UK GDPR, you have the right to access, correct, delete, restrict, or object to our use of your personal information, and to complain to the Information Commissioner's Office (ico.org.uk) if you have concerns. Where we use your information because you agreed to it (teaching applications and reviews), you can withdraw that agreement at any time by emailing info@mathlinksacademy.co.uk; this does not affect anything we did with your information before you withdrew.
